📬 How to Track Email Notifications in AUTOMY

It allows you to verify whether the notifications generated by a process in AUTOMY actually reached the final user, and whether there were any delivery issues. ✅ When can you track notifications? 🔔 Only if the process has notifications enabled. 🔍 OPTION 1: Track notifications from a specific request 🧠STEP BY STEP: Log in to AUTOMY and go to the main menu.
Click on the "Requests" module.
Search for the request you want to review.
Select the ✉️ "Email Tracking" tab. 💡 What will you see there? A table showing all notifications sent for that request, with the following details for each email: Field What it means 📅 Date When the event occurred (e.g., when the email was opened). ⚙️ Type The process action that triggered the notification. 👤 Email The recipient of the email. 📨 Status The current status of the email (see table below). 🆔 SMTP ID Technical identifier of the message (used for support/debugging). 📝 Subject The title or subject of the email that was sent. 📊 EMAIL STATUS MEANINGS Status Meaning Processed The system received the email and it's ready to be sent.
Delivered The email reached the recipient's server.
Clicked The user clicked a button or link inside the email.
Dropped ⚠️ warning – The email was not sent due to a technical reason (see below). ⚠️ Reasons an email may appear as DROPPED Invalid SMTP header Content flagged as spam Bounced email address Unsubscribed address Invalid email address Email list exceeded the allowed package limit 🧯 What to Do If the Email Is “OMITTED” If a notification has the OMITTED status, follow these steps: 🕵️ Step 1: Check the detailed reason Go to the “Email Tracking” tab of the request OR Access it through Email Traces (Configuration > Monitoring and Audit > Email Traces).
Open the “Events” tab to see a detailed explanation. 🛠️ Step 2: Act based on the issue Detected Issue What You Can Do Invalid email address Correct the address in the user profile or data source.
Unsubscribed user Ask the user to re-subscribe if they wish to receive emails.
Marked as spam Simplify your email content, avoid ALL CAPS, suspicious links.
SMTP error (header or system) Contact AUTOMY support to review the email template or setup.
Limit exceeded Split the recipients or check your current plan limitations.
